This page explains the service in plain language. It is not a legal opinion or a certification of compliance. Your organization is responsible for the policies and permissions that apply to its use of the workspace.

01 / PRIVACY

Your information, in context.

The workspace stores information needed to prepare, review and maintain a research file.

Account & access
Names, email addresses, assigned roles, account status and sign-in sessions. Passwords are stored as hashes, not readable passwords.
Research & documents
Project details, scope answers, saved form values and uploaded evidence such as research plans, abstracts and supporting letters.
Signatures & approvals
Signer details, signature representations, acknowledgements, document versions, timestamps and the associated approval records.
Activity & security
Changes, review activity, invitations, delivery attempts and session information used to operate and protect the workspace.

Who can access it?

Access depends on the roles and scope assigned within your organization. Students, sponsors, reviewers and administrators do not all have the same permissions. An invitation to sign gives access to the assigned signing task rather than a full workspace account.

02 / HOSTING & SHARING

Where information is processed.

The application and its primary research records are hosted in Saudi Arabia. Connected services can process selected information elsewhere; Saudi hosting does not mean every connected service operates exclusively inside the Kingdom.

EMAIL DELIVERY

Zoho / ZeptoMail

Receives recipient addresses and the message content needed to deliver invitations, signing requests and test emails. Messages may contain a secure signing link.

Provider privacy policy
OPTIONAL AI REVIEW

Google Gemini

Receives selected, identity-redacted research text when a user runs the enabled AI review. Processing may take place outside Saudi Arabia.

Provider terms

Downloading a package, sharing a document or inviting a signer also makes information available to the recipients you choose. Check the destination before sharing.

Essential browser storage

The service uses session cookies for sign-in and browser storage for interface preferences and supported draft workflows. Signing out ends access to the session; avoid leaving research files open on shared devices.

03 / AI ASSISTANCE

Support for review.
Responsibility stays with people.

There are two different AI uses: explaining public checklist questions, and reviewing saved research text. Public-question explanations use the question catalogue rather than a student’s research answers.

What the research review sends

The enabled Gemini quality review sends selected form and research text after removing direct identity fields and replacing known identities. Raw uploaded files, signature images and the local identity mapping are not sent by this review.

Redaction reduces exposure; it is not a guarantee of anonymity.

Free text may still contain identifying or confidential details. Avoid including unnecessary personal information in research narratives.

How the results are used

AI suggestions are shown separately from the platform’s checks of completeness, evidence records, signatures and recorded conflicts. Suggestions can be wrong or incomplete. They do not change student answers, authenticate signatures, certify safety or approve a project.

Reviews are linked to the research version, recorded in activity history and available in an annotated export. The operator must check the provider’s applicable account, data-use and eligibility terms, including requirements affecting services accessed by minors. This notice does not promise that provider processing or retention is identical across service plans.

04 / SIGNING

A dedicated task.
A protected link.

A signing invitation is limited to its assigned form and approval line. Access may use the secure email flow or a separate access code. Invitations can expire or be replaced, and a completed signature is recorded against a document version.

  • Keep invitations and access codes private. Do not forward someone else’s signing request.
  • When sharing a manual signing link, send the access code through a separate channel.
  • Read the form and declaration before signing. A displayed name alone does not establish a person’s authority to sign.

An email success message means the mail service accepted the request. Inbox placement, receipt and opening are separate events; check junk mail if an expected invitation is missing.

05 / RECORDS & REQUESTS

A history that remains understandable.

Ordinary archive and withdrawal actions preserve history rather than permanently erase records. Research corrections, earlier document versions and signature events may remain necessary to explain what was submitted and approved. Backups may also retain earlier records.

Ask about your information

Contact the administrator who invited you to request access, correction, a readable copy or deletion of your personal information, subject to applicable law and the organization’s obligations. Ask that administrator for the retention schedule and the process for handling backups. This notice does not set an unverified retention period.

06 / STUDENTS & GUARDIANS

Research with the right support.

Accounts are provided through the participating organization; there is no public self-registration. Parents and guardians may receive their own signing invitation where consent is required. The organization is responsible for the permissions, supervision and consent applicable to its students.

Using this platform does not replace required parental consent, ethics review or approval before an experiment. Connected AI services have their own eligibility terms, which the operator must assess before offering them to students.

07 / TERMS OF USE

Your work. A shared responsibility.

Use your own access

Keep your password and signing links private. Work within your assigned permissions, provide accurate information and upload only material you are entitled to use.

Check the requirements

The platform helps identify forms and organize a research file. It is not the authority on eligibility or compliance. Confirm the applicable rules, required approvals and accepted signature format with your fair’s review committee.

Your content

Your research content remains yours. Operating the workspace involves storing it, displaying it to authorized participants, generating documents and processing the sharing or review actions you request. AI suggestions do not replace your authorship or your responsibility to check the work.

Review before submitting

Inspect exported documents for completeness, legibility, dates and signatures before using them. An export or a high completeness score does not guarantee acceptance by a fair or committee.

08 / ATTRIBUTION

The official forms belong
to their publishers.

The official ISEF forms and rules are published by the Society for Science. Their names, marks and materials remain the property of their respective owners. ISEF World is not represented here as endorsed by or affiliated with the Society for Science or Regeneron ISEF.

The service fills the official PDFs in its library. Always check the current form edition and your fair’s requirements.

Redistribution permission remains an operator matter.

Written permission for distributing copies of the official PDFs has not been established in this notice. The operator must resolve the applicable permissions with the publisher; this page does not grant those rights.
